Why I built SmartForms

For 23 years I have worked in the care sector, 9 years on the frontline and 14 years managing services across learning disability and autism, elderly care, and mental health recovery services. During that time, I have built care projects from the ground up, applied for and successfully obtained CQC registrations, and developed partnerships with the NHS and local authorities. SmartForms was born from those experiences because the tools available never really fit the way care services actually work.

Before joining the care industry, I worked in IT and management. During the pandemic, I taught myself programming again and started building software solutions. Bringing together my experience in care and technology eventually led to the creation of SmartForms.

Throughout my career, I have worked alongside many passionate and dedicated colleagues. One issue came up time and time again: paperwork was taking over the real work of providing care. Spreadsheets became outdated, printed audit forms disappeared between shifts, and finding evidence often meant searching through multiple folders and files or discovering that the colleague who completed the audit had already left the organisation. Sound familiar?

I tried many of the tools already available to the sector. Generic form builders were not designed for care and often forced services to adapt their processes to fit the software. Care-specific platforms were frequently expensive, overly complicated, or both. Many felt as though they had been designed by people who had never experienced a CQC inspection themselves.

SmartForms is the system I wished I had. A straightforward tool focused on the things that genuinely matter. Build your forms, assign them to the right people, track progress, record every action with a timestamp, and have the evidence you need when you need it. No unnecessary complexity just a practical solution that helps staff spend less time on paperwork and more time supporting people.

What this means for you

  • The language is right. No reinventing "safeguarding" as "incident reports v2". No making you translate every CQC concept into something else.

  • It stays focused. SmartForms isn't trying to be everything. It does forms for Audits and Checks then assignments, submissions and monitoring. However, it can do more if you ask for it.
